Employee Promise

  • Be on time and communicate. Let the homeowner know if you expect to arrive late or early; clients plan their days around these appointments.
  • Confirm the scope of the job with the homeowner and let them know in advance if the cost will exceed expectations. The office must confirm that the additional time has been approved by the homeowner.

Office hours

Clean It Now is open from 8:00 to 19:00 Monday through Friday and 10:00 to 19:00 on Saturdays, excluding holidays. Employees are required to work evenings and weekends.

TRANSPORT AND PARKING

Employees are fully responsible for their own transportation to work. Make sure you are on time for the agreed time each day.

ATTENDANCE AND PUNCTUALITY

The goal of Clean It Now is to be there when we say we will be! We expect employees to be on time; absences and tardiness place a burden on other employees and the company.

In the event of an emergency that prevents you from coming to work, you must notify management as soon as possible. You are responsible for discussing your absence with management. Leaving a voicemail message only is not permitted.

ABSENCE WITHOUT NOTICE

If you are unable to work due to illness or an accident, please report this to the office. If you do not report for work and we are not informed of your status, after two consecutive days of absence you will be considered resigned and removed from the payroll.

If an employee becomes ill while at work or must leave the workplace before the end of the working day, the Office Manager must be notified.

BAD WEATHER AND EMERGENCY CLOSURES

Sometimes, emergencies such as extreme weather or power outages can disrupt business operations. If conditions prevent travel, the decision to close the office is made by management.

In the event of extreme weather conditions, it is the employee's responsibility to contact Clean It Now to determine if they need to be present for business activities.

When the decision is made to close the office, employees will receive official notice from management. Time off from scheduled work due to emergency closures will be unpaid for all employees.

INTRODUCTORY PERIOD FOR NEW EMPLOYEES

A new employee is evaluated for 30 days to determine whether continued employment in a specific role or with Clean It Now is appropriate. When an employee completes the introductory period, he or she is notified of his or her status with the company.

EMPLOYMENT RELATIONSHIP

You enter into employment voluntarily and are free to resign at any time for any reason. Likewise, Clean It Now is free to terminate an employee relationship at any time for any reason or no reason.

After the introductory period, employees must adhere to the termination policy.

DEFINITIONS OF EMPLOYEE STATUS

A Clean It Now employee is a person who works for Clean It Now on a regular basis on a wage or salary basis. Employees may be full-time or part-time and are subject to Clean It Now guidelines in the performance of their duties.

FULL-TIME

Employees who have completed the 30-day introductory period, have a regular work schedule and work 32 or more hours per week are considered full-time.

PART-TIME

Employees who have completed the 30-day introductory period, have a fixed work schedule and work less than 32 hours per week are considered part-time employees.

REQUESTS TO BE FREE

All time off must be approved by Clean It Now management. Requests for time off will not be approved without two weeks notice.

SICK LEAVE

Sick leave is not paid by Clean It Now. If an employee is unable to come to work due to illness, they must notify the office immediately so that a replacement can be arranged.

PARENTAL LEAVE FOR SCHOOL VISITS

Employees may participate in their children’s after-school activities as long as the business is not jeopardized. Notification must be given at least three business days in advance. Parental leave for school visits is unpaid and must be used with discretion.

FREE TIME FOR NEW PARENTS

Full-time employees with a one-year contract are allowed to take three days paid leave in the event of the birth or adoption of their child.

PREVENTION OF WORKPLACE VIOLENCE

To maintain a non-hostile work environment, employees and supervisors must maintain a professional attitude. Violence in the workplace is not acceptable and will not be tolerated. Civility and respect for the feelings and beliefs of other employees are important.

Do not use derogatory or inflammatory remarks, words or phrases. Spouses, friends and family members of employees who misbehave, use threats or act in a manner that creates workplace violence may be grounds for the employee to be terminated.

If there is a possibility of violence, you should remove yourself from the situation and notify management immediately.

ANTI-BULLYING POLICY

The Company defines bullying as “repeated inappropriate behavior,” whether direct or indirect, verbal or physical, intentional or unintentional. The Company considers the following types of behavior to be examples of bullying:

  • Verbal bullying: slandering, ridiculing or defaming a person or his/her family; persistently making hurtful, insulting or derogatory remarks.
  • Physical bullying: pushing, kicking, poking, tripping, assault or threats of physical violence; damaging someone's workplace or property.
  • Sign language bullying: non-verbal threatening gestures, looks that can convey threatening messages.

COMPLAINTS HANDLING PROCEDURE

Under normal working conditions, employees who have a work-related problem, question or complaint should first discuss it with their immediate supervisor. At this level, employees usually achieve the simplest, quickest and most satisfactory resolution.

If the employee and supervisor cannot resolve the issue, Clean It Now encourages employees to contact management. The complaint process does not change the relationship between the employee and the company. We include this information as a guide to the orderly resolution of issues.

EMPLOYEE PERFORMANCE APPRAISAL

Management will conduct performance reviews with all employees after six months of employment. Performance reviews are designed to discuss current duties and to encourage and recognize attributes.

Clean It Now ties wage and salary increases directly to performance, adherence to company policies and procedures, and the ability to perform or exceed tasks per job description. Performance reviews have a direct impact on your compensation.

A poorly performed task or a customer complaint is not acceptable. Every task must be done right the first time. If a task has to be redone due to poor performance, the time spent redoing the task will not be reimbursed.

EMPLOYEE INTERACTIONS

Communication with colleagues, supervisors and clients should always be respectful, without a negative attitude. Employees should maintain a formal and respectful approach towards their superiors, clients and colleagues.

Intimate terms such as “sweetheart,” “honey,” “mommy,” etc. are not allowed. Employees may not talk back or make sarcastic comments to coworkers. Respect the employee-employer relationship.

We expect all employees to conduct themselves honorably. Honesty is an important characteristic of our company; any misrepresentation or falsification of records, including personnel records, medical records and leave documentation, will not be tolerated. Violations will result in termination.

STAFF MEETINGS

Monthly staff meetings are held. During these meetings, employees are updated on recent changes within the company, new goals and employee recognition.

All employees are expected to actively participate with ideas and suggestions. Employees are paid minimum wage to attend team meetings and attendance is mandatory.

TIMEKEEPING

Accurately recording the time spent on tasks is the responsibility of every employee. Hours worked are counted from the start of the first task to the completion of the last task.

Breaks are deducted from this time; Clean It Now does not pay for breaks. Clean It Now grants the following unpaid holidays per year: New Year, Easter, Ascension Day, Maundy Sunday, Maundy Monday and Christmas.

PUBLIC IMAGE AND USE OF SOCIAL MEDIA

When interacting with customers or potential customers, a professional appearance is essential. Employees must be well-groomed and dressed appropriately, as they represent our company. The dress code policy reflects our culture and the expectations of our customers, rather than personal preferences.

Make-up and hairstyles should be neat and in moderation. Tattoos should be covered. Uniforms should be clean and personal grooming should meet company standards. Fingernails should be clean and well-groomed with a natural appearance.

Clothing may not be too short, tight or revealing. Chewing gum is not allowed when in contact with clients.

Social media posts reflect our business. Posts, photos, recommendations, status updates, etc. should not reveal information about the relationship between clients, former clients, employees, and the company. Employees are obligated to protect client data.

Personally identifiable information should never be posted online. Employees who make derogatory, malicious or otherwise defamatory comments may expose the company to liability and may be terminated immediately.

Be warned that social media can be used as evidence in legal proceedings. Even deleted messages can be recovered. Social media evidence has been used in legal cases.

OUTSIDE JOBS

Employees may hold outside jobs in unrelated industries as long as they meet the performance requirements of their position. Employees must notify Clean It Now of any outside employment.

Unless an alternative work schedule is approved, employees are subject to the company's scheduling requirements regardless of other outside commitments.

WORK EQUIPMENT, TOOLS AND SUPPLIES

Clean It Now provides the necessary equipment, tools and supplies for your work. This equipment may not be used for personal use. All work materials must be kept clean and orderly.

Before leaving, check that all equipment, tools and supplies are in the work vehicle.

CUSTOMER COMMUNICATION

We expect all employees to be polite and professional at all times. Conversations with customers should consist of only small talk, such as “Good evening,” “Great,” or “Have a nice day.” Under no circumstances should employees initiate a conversation with a customer.

KEYS AND ALARMS

  • Key labels must NOT contain the name or address of the location.
  • The keys must remain with you at all times while you are on the customer's premises.
  • If you lose your keys, you MUST report it IMMEDIATELY!
  • Access doors and other closed doors must remain closed and locked during cleaning.
  • When you leave, be sure to push and pull the door to make sure it is locked and secure.
  • If you experience any issues securing the location, you MUST report the problem immediately!
  • You are responsible for disabling the alarm upon arrival and re-activating it upon departure.
  • Never write the alarm code on anything that shows the location, name or address.
  • If you accidentally set off the alarm, you MUST call the office IMMEDIATELY!

CUSTOMER OWNERSHIP

You must ensure the security of all your property while on site.

Never use the customer's radios, office supplies, computers, etc.

Never give anyone access, even if you have seen them before. If they belong to the site, they should have their own key to get in.

You will never get into trouble, no matter how angry someone gets.

Employee visitors are not permitted to enter the premises at any time and for any reason.

BREAK PERIODS

Employees are entitled to one lunch break and one recess, but are not entitled to paid breaks. Clean It Now does not allow employees to take breaks during production activities. Employees who do not adhere to the break policy are subject to disciplinary action, up to and including termination.

PHONE USAGE

Personal use of personal and/or company phones during business hours is discouraged except in extreme emergencies. All personal calls should be brief and for emergencies only.

When on the client’s property, no phone calls are allowed under any circumstances. Cell phones must be on vibrate when in the client’s home. No texting or emailing while driving.

SAFETY

Do not run on work premises, customer premises or in parking lots.

Do not use vacuum cleaners or other electrical appliances where the wiring is visible.

Do not lean out of high windows or over balconies or expose yourself to the risk of falling.

Be aware of equipment, materials, and supplies that you could trip over.

Never lift more than you are comfortable with. When lifting, bend your knees, not your back.

Wear shoes with non-slip soles, such as sneakers, to prevent slipping on wet surfaces.

Dangerous wrestling is prohibited and may result in disciplinary action, including dismissal.

DAILY TASKS FOR TEAMS


CLEANING ASSISTANT

Morning

  • Log in to the timesheet.
  • Load the vehicle with supplies, cleaning products, cloths and equipment.

In workplaces

  • Assist with loading and unloading equipment and supplies.
  • Clean it properly and as quickly as possible.
  • When you are finished, report it to your team leader so he or she can check your work.
  • Follow the team leader's instructions carefully.
  • Keep your supplies well organized, including your cleaning bucket. Replace supplies directly in the bucket.
  • Clean the vacuum parts before packing them. Roll up the vacuum cord immediately after use.
  • Check that everything is in the vehicle BEFORE leaving a job.
  • Place advertising flyers daily at the next two houses on the right and the next two houses on the left.

Afternoon

  • Unload the cleaning supplies and equipment from the vehicle and place them in the storage area.
  • Refill bottles, replace supplies, prepare cleaning wipes, etc. for the next morning.
  • Check with management if you will are finished today.
  • Sign out on the timesheet form.

TEAM LEADER

Morning

  • Log in to the timesheet.
  • Retrieve the folder containing the timesheets.
  • Take out the car key and let the car warm up (but don't leave it unattended).
  • Pick up the company cell phone.
  • Get client keys for the day. Check that the keys are correct for the clients of the day.
  • Confirm the daily schedule with management.
  • When leaving, please indicate the starting kilometers on the daily schedule.

In workplaces

  • Please indicate the arrival time and distance in the daily schedule.
  • Divide the work within the team; delegate tasks based on individual skills.
  • Make sure everyone does their part and cleans up properly.
  • Before leaving the workplace, check that all work has been carried out correctly.
  • Turn off all the lights, lock the house and set the alarm.
  • Check that everyone has their cleaning supplies in the vehicle BEFORE leaving a job.
  • Once payment has been received, please call the office and let us know so that the office can send the receipt confirmation.
  • Responsible for cleaning, waste removal and vehicle maintenance. Keep the car in order.
  • Monitor the mechanical maintenance of the vehicle; report any maintenance needs to management.

Afternoon

  • Leave the company cell phone at the office and charge it for the next day.
  • Please notify the office if gasoline is required for the vehicle.
  • Submit the car key and appointment schedule to the Office Manager.
  • Check with management if you will are finished today.
  • Sign off the timesheet.

EXAMPLES OF GROUNDS FOR TERMINATION:

  • Intentionally causing damage to company and/or customer property.
  • Use of weapons or participation in workplace violence.
  • Falsification of documentation or time cards.
  • Remove, take or make public company information.
  • Fighting, threatening, verbally or sexually abusing colleagues and/or clients.
  • Theft or improper removal, use or possession of property.
  • Working under the influence of alcohol or illegal drugs.
  • Possession or distribution of alcohol or illegal drugs in the workplace.
  • Disobedience or excessive absenteeism.

EXAMPLES OF MAJOR VIOLATIONS:

The first violation will result in a final written warning; the second violation will result in termination of the contract.

  • Absence from work without prior notice (no call/failure to show up).
  • Giving incorrect reasons for absence from work.
  • Making incorrect statements about colleagues and/or customers.
  • Arguing with clients and/or staff.
  • Harassing colleagues.
  • Use of customer property (including desks, computers, televisions, radios).
  • Loss of property.
  • Failure to follow Clean It Now or client safety/PPE requirements.
  • Using company vehicles or equipment for other than business purposes.
  • Noisy or disruptive activities in the workplace.

THEFT POLICY

Any employee suspected of theft will be temporarily terminated pending an investigation. Any employee caught stealing will be automatically terminated and the charges will be forwarded to local law enforcement.

All information regarding suspected theft should be reported to management. All information will be treated confidentially.

TERMINATION OF EMPLOYMENT

Termination of employment is an inevitable part of the personnel activity within any organization. When an employee intends to terminate employment, he/she must give Clean It Now at least four weeks written notice. Failure to comply with this policy will result in the loss of the right to paid time off and other benefits.

Any employee who terminates employment with Clean It Now must return all keys and other materials owned by Clean It Now. No final payment will be made until all items are returned in proper condition.

The cost of replacing unreturned items will be deducted from the employee's final paycheck.

STANDARDS OF CONDUCT

Clean It Now's work policies and standards of conduct are important and the company takes them seriously. All employees must be familiar with these policies and standards.

Employees are expected to faithfully comply with the rules and standards in the performance of their duties and the affairs of the company. Please note that any employee who deviates from these rules and standards is subject to corrective action, up to and including termination.

This guide is intended to familiarize you with Clean It Now and to provide you with information about employment conditions, benefits, and policies that affect your employment. The information in this guide applies to all employees.
